Hire-to-Retire (H2R)
Hire-to-Retire (H2R) is the end-to-end process that governs the complete employee lifecycle — from the identification of a hiring need through every stage of employment and ultimately to departure. Alongside Order-to-Cash and Purchase-to-Pay, it is one of the three canonical end-to-end enterprise processes that define how organizations operate.
H2R spans multiple functions (HR, finance, IT, facilities, legal) and typically involves multiple systems. This cross-functional, multi-system character makes it one of the most complex process landscapes in any organization — and one with significant untapped automation potential.
The H2R Process Stages
1. Workforce Planning
The process begins with identifying the organization's workforce needs: which roles are required, when, at what cost and with which competencies. Workforce planning connects HR strategy to operational capacity — and its quality determines whether the rest of the H2R process starts from the right base.
2. Recruitment and Selection
Recruitment covers job posting, candidate attraction, application screening, interviewing, assessment and the hiring decision. Modern recruitment processes involve applicant tracking systems (ATS), structured interview scoring, background screening and reference checking — each of which generates process data that can be used to improve recruitment process efficiency and quality.
3. Onboarding
Onboarding is the stage with the highest automation potential in most organizations. A new hire triggers a cascade of tasks: IT account setup, system access provisioning, equipment ordering, payroll setup, benefits enrollment, compliance training enrollment, security clearance, physical access and documentation. Each of these tasks has dependencies, deadlines and handoffs across multiple departments.
Onboarding workflows that are managed through email and spreadsheets rather than automated process tools are characteristically slow, error-prone and inconsistent. Automating the onboarding checklist — triggering each task at the right moment, routing to the right person and escalating if deadlines are missed — typically reduces time-to-productivity for new hires significantly.
4. Employment
The employment stage covers the ongoing activities that sustain the employee relationship: payroll processing, expense management, benefits administration, absence and leave management, performance review cycles, learning and development, and role changes (promotions, transfers, secondments). Each of these sub-processes has its own workflow, approval chain and compliance requirements.
5. Offboarding
Offboarding — whether through resignation, retirement, redundancy or termination — mirrors onboarding in its cross-functional complexity but operates under tighter time pressure and higher risk. Access revocation, equipment return, knowledge transfer, final payroll processing and exit documentation all require coordinated action across HR, IT, finance and operations. Offboarding failures — particularly in access revocation — create both security and compliance risks.
Intersection with ERP and Finance
H2R intersects with ERP systems at several critical points:
- Payroll: HR data (hours, salary changes, bonuses, absences) drives financial postings in the ERP. Errors or delays in the HR-to-ERP data flow result in incorrect or late payroll — a high-impact, highly visible failure.
- Expense management: Employee expense claims are processed through ERP workflows involving approval, audit and payment posting.
- Access control: Role changes in HR systems must be reflected in ERP access rights. A promotion that changes an employee's financial authorization level needs to be propagated to ERP role assignments promptly — failure creates either unauthorized access or operational blockers.
- Resource planning: For project-based organizations, employee capacity and skills data from HR systems feeds into project resource planning in the ERP.
These ERP intersection points are where breakdowns in H2R process automation have the most direct operational and financial impact — and where automated workflow triggers between HR systems and the ERP deliver the clearest efficiency gains.
